Privacy Policy

We collect the following categories of information:

• Account & contact information — name, email address, mobile phone number, mailing address, emergency contact information.
• Payment information — billing details necessary to process your membership. Credit card and bank account numbers are stored by our payment processor (PaySimple), not by us. We retain only the last four digits and processor reference identifiers.
• Membership records — class enrollment, attendance history, belt rank, training notes, and waiver acknowledgments.
• Communications — emails and text messages you send to us and our responses, including SMS opt-in records and opt-out (STOP) requests.
• Site usage — basic technical information such as browser type, device, IP address, and pages visited, collected through standard server logs and analytics cookies.

• To manage your membership, enrollment, billing, and attendance.
• To send you account, scheduling, and operational communications by email and SMS, such as schedule changes, event notifications, payment reminders, and safety updates.
• To respond to your questions and provide customer support.
• To improve the safety and quality of instruction (for example, by tracking belt progression and curriculum coverage).
• To comply with legal obligations and enforce our agreements.

We share personal information only as needed to operate the academy and only with the following categories of recipients:

• Service providers — who perform functions on our behalf — payment processing (PaySimple), email delivery (Google Workspace), SMS delivery (Twilio), hosting (Vercel), database (Supabase). These providers are contractually limited to processing data for the services they perform for us.
• Legal & safety — when required by law, court order, or to protect the rights, property, or safety of High Noon BJJ, our members, or others.

SMS opt-in data is used solely to deliver text messages from High Noon BJJ to members who have consented to receive them.

How we obtain consent. High Noon BJJ sends text messages only to people who have given explicit opt-in consent. Consent is collected in two ways:

• Online signup: a clearly labeled, unchecked-by-default checkbox on our membership signup form at member.highnoonbjj.com/join with disclosure of message types, frequency, rates, and opt-out instructions.
• In person at the front desk: the same disclosure on a paper or kiosk form signed when joining the academy.

Consent is recorded with a timestamp in our database. We do not enroll anyone in SMS without explicit opt-in, and consent is not a condition of membership or purchase.

What we send. Members who opt in may receive:

• Class reminders and schedule changes / cancellations
• Event notifications (open mats, seminars, competitions)
• Account and billing notifications
• Occasional academy updates from staff

Frequency & rates.Message frequency varies and is typically fewer than four messages per month. Message and data rates may apply, depending on your mobile carrier and plan. Carriers (including AT&T, T-Mobile, Verizon, and others) are not liable for delayed or undelivered messages.

How to opt out. Reply STOP to any message to unsubscribe. You will receive a one-time confirmation that you have been unsubscribed and no further messages will be sent. Alternative opt-out keywords (STOPALL, UNSUBSCRIBE, CANCEL, END, QUIT) are also supported. To resubscribe later, reply START, JOIN, UNSTOP, or YES.

How we use consent records. SMS phone numbers and consent records are used solely to deliver text messages from High Noon BJJ to you. We do not sell, rent, or share mobile phone numbers, opt-in data, or message content with third parties for marketing or promotional purposes. The only third party that processes this data on our behalf is our SMS delivery provider (Twilio), under contract and with confidentiality obligations.

• Email preferences — you can opt out of non-essential email at any time by following the unsubscribe link in any message or by emailing us.
• SMS opt-out — reply STOP to any text message to be removed from future texts. We retain the opt-out request so we do not text you again.
• Access & deletion — you may request a copy of the personal information we hold about you, or ask us to correct or delete it, by emailing tim@highnoonbjj.com. We will respond within 30 days. Some records (such as signed waivers and billing records) must be retained for legal and insurance purposes.

Memberships for children under 13 are arranged by a parent or legal guardian, who provides the contact information on the child’s behalf. We do not knowingly collect personal information directly from children under 13. SMS messages about a child’s class are sent only to the parent or guardian phone number on file.

We retain personal information for as long as your account is active and for a reasonable period thereafter for our legitimate business purposes (typically seven years for billing and seven years for signed waivers). We use industry-standard administrative, technical, and physical safeguards to protect personal information, including encrypted transport (TLS), encrypted storage where supported, and role-based access controls. No system is 100% secure; we cannot guarantee the security of information transmitted over the internet.

We may update this Privacy Policy from time to time. The “Effective” date at the top reflects the latest revision. Material changes will be communicated by email or SMS where appropriate.
